Small business looking for an Admin Assistant to update reports, spreadsheets, take meeting minutes (usually virtual), schedule meetings, schedule venues and make handout copies for a quarterly workshop and other office duties as they arise using Office365 applications such as Outlook, Excel, & Word. Knowledge of SharePoint, Microsoft Teams, and Active Campaign helpful.

Will be expected to exercise good judgment in a variety of situations, have strong written and verbal skills, use organizational skills and be able and willing to work independently.

This position is flexible at 12-18 hours/week. Most hours can be done from home and often on your schedule. In-person meeting attendance is needed 1-2 times per quarter. In-person meetings and workshops are usually scheduled 2 months to 1 year in advance.

Pay is competitive with 2 weeks paid vacation and the possibility of bonus based on company profit and job performance after 6 months.

Roles and Responsibilities

  • Maintain, save and file documents on IR’s SharePoint website
  • Update several logs, spreadsheets, registration logs, scorecards, and reports on an ongoing basis
  • Keep up with Outlook emails and email requests on an ongoing basis, sending email reminders to the team, ads to local Chamber of Commerce, etc.
  • Take notes at regular monthly meetings, 8 of which are virtual, and 3 or 4 in-person.
  • Regularly check and maintain a shared email inbox
  • Maintain the company calendar. Coordinate and schedule meetings, workshops and calendar reminders
  • Scheduling venues for workshops, ordering refreshments
  • Print & collate handouts for 1 or 2 workshops per quarter
  • Post events and articles on social media platforms, local chambers, and community calendars
  • Like and share pre-written posts on social media platforms including Facebook, LinkedIn, and Twitter
  • Learn Active Campaign and keep contacts updated: add new contacts, update existing contacts, run reports, and upload new contact lists periodically
